How to calculate attendance points (step by step)

April 9, 2026 · 5 min read

Calculating attendance points is simple once your policy is set. The balance is just the sum of the points for every occurrence that still counts, minus any that have expired or been corrected. Here's how to do it step by step.

Step 1 — List the point values

Write down what each occurrence is worth. For example: tardy 0.5, leaving early 1, absence 1, no-call/no-show 3.

Step 2 — Record every occurrence

For each occurrence, note the date and the infraction. The date matters because it decides when the points eventually expire.

Step 3 — Add up what still counts

Sum the points for occurrences that haven't expired. If you use rolling expiration, drop any occurrence older than your window (for example, older than 12 months).

Step 4 — Apply corrections

Subtract points for anything voided or manually adjusted. A voided write-up removes its points from the balance.

Worked example

  • Jan 3 — Tardy (0.5)
  • Feb 10 — Absence (1)
  • Mar 2 — No-call/no-show (3)
  • Total so far: 4.5 points

If the tardy later ages off, the balance drops to 4. Doing this by hand across a whole team is where mistakes creep in — Cloud Point Data calculates every balance automatically and updates it the moment points expire.
